AI Invoice Agent: Automated Document Processing

This AI agent reads your documents, checks the values and links new versions to the ones before them. It then fills in the spreadsheet your team already uses. This is automated document processing for teams whose numbers live in spreadsheets, with a person approving anything the system flags.

What is AI Invoice Agent

AI Invoice Agent is an automated document processing tool built by Accedia on Microsoft Azure. It uses Azure AI Document Intelligence to extract key fields from PDF documents. It then links updated versions to earlier records, applies your business rules and writes the results into your existing spreadsheet template. When a document is missing the reference that ties it to a record, an Azure OpenAI model deployed through Azure AI Foundry suggests the most likely match for a person to confirm. Documents with missing or unlikely values go to a person for review before anything is approved.

What Changes for Your Team?

  • Hours back from manual entry.

Hundreds of fields per document that someone used to type by hand are now filled in automatically.

  • Numbers you can trust.

Fixed rules mean the same document always gives the same result. Every value traces back to its PDF, and a person approves anything unusual.

  • Low running costs.

AI runs only when a document needs it, which keeps the cost per document small.

  • Nothing new to learn.

Your team keeps its spreadsheet, its formulas and its workflow.

How Does Automated Document Processing Work

  • 1

    Upload and read

Drop in a PDF. Azure AI Document Intelligence handles the PDF data extraction and pulls the key fields.

  • 2

    Link the versions

When an updated document arrives, the agent connects it to its earlier versions. It reverses the old entries and posts the new ones under your business rules, so the full history stays visible and easy to audit.

  • 3

    Suggest a match

Some documents arrive without the reference that ties them to a record. An AI model on Azure proposes the most likely match.

  • 4

    Hold anything doubtful

Missing or unlikely values send a document to a review queue. Your reviewer sees the extracted field next to the original PDF, along with the system's confidence score, and corrects it before approving.

  • 5

    Fill in your template

Approved data lands in your existing spreadsheet with its formulas intact. Same file, same format, no retraining.

Which Industries Benefit from Document Processing Automation?

If documents feed a spreadsheet anywhere in your process, the agent fits.

  • Financial Services

Provisional, revised and final invoices posted to accounting records, with reversals handled automatically.

  • Manufacturing

Supplier invoices and delivery notes arriving in many different layouts, collected into the spreadsheets that track material and production costs.

  • Energy and Utilities

Invoices issued on estimated readings, then revised once the actual figures come in, with the full version history kept in the spreadsheet.

  • Logistics

Shipping documents that get revised in transit, with every version kept in the record.

  • Insurance

Documents that have to be checked against existing records before the numbers move on.

  • Engineering

Delivery notes and supplier invoices from sites and subcontractors, gathered into one place for cost tracking.

AI Document Processing FAQ

  • What is automated document processing?

    icon for show less

Automated document processing is software that reads documents, extracts the data you need and passes it into the systems your team works in, with no retyping. Accedia's AI Invoice Agent applies it to PDFs that feed spreadsheets. It uses Azure AI Document Intelligence for extraction, applies your business rules and writes the results into your existing template.

  • How do you process documents that come in several versions?

    icon for show more

AI Invoice Agent links a new version to the earlier ones automatically. It reverses the old entries and posts the updated figures according to your business rules. The spreadsheet keeps the full history from provisional invoice to final, and auditors can trace any change back to the document behind it.

  • How much human review does AI processing need?

With AI Invoice Agent, people review the exceptions: documents with missing or unlikely values, and any match the AI model suggests. The reviewer sees the extracted field next to the original PDF with a confidence score, then corrects and approves it. Documents that pass the checks move on to the spreadsheet.

  • Is AI Invoice Agent accounts payable software?

    icon for show more

AI Invoice Agent handles the data side of invoice work: it reads documents and turns them into accurate, auditable entries in the spreadsheet your team already uses. Payments stay in your accounts payable or ERP system.
